Find the right record office

Start with the jurisdiction.

All 62 New York counties, including the five NYC counties. Choose the county for your property, then follow the parcel, document and approval paths for any CRE asset type.

Record paths across New York

Select a county, then identify the property municipality. Outside NYC, assessment and land-use routes depend on the city, town or village; NYC has its own assessment and recording paths.

  1. 01

    Parcel and assessment

Outside NYC, use the Municipal Data Portal to select the county and municipality, find local officials and reach the assessment roll. Within NYC, use Department of Finance assessment records.

  2. 02

    Deed and recorded documents

Outside NYC, use the official county website to locate the county clerk and its land-record access instructions. Confirm available document images and any access requirements. NYC uses ACRIS for four boroughs and the Richmond County Clerk for Staten Island.

  3. 03

    Use, approvals and permits

Use the municipality identified in Municipal Profiles to locate planning, zoning and building officials. Confirm who administers the proposed use and obtain the relevant approval and permit record.

Browse all 62 jurisdictions

62 of 62 jurisdictions listed alphabetically.

Jurisdiction names and FIPS identifiers: U.S. Census, January 2025. These official entry points help you locate the responsible office. Confirm the available records, access terms and currency for the property you are researching.

One working file to take back to the team

Connect the records. Preserve the exceptions.

1. Inspect two worked rows.

The fictional example shows the actual columns, document mismatches and open decisions for this task.

2. Build your own register.

Start blank, edit the cells and add as many records as the review needs, up to 200 rows per file.

3. Export and assign review.

Download the register as CSV or a readable text file, including source context and edition. The companion below helps organize the next document requests.

New York statewide property evidence register

Connect any New York county and CRE asset to the record custodian, document evidence and next review decision.

Bring these records

  • Local jurisdiction and property identifier
  • Asset type and acquisition question
  • Documents available and unresolved requests

How to use the table

  1. Choose any county or locality in the directory. Start a row for each property and evidence question.
  2. Keep the municipality, asset type, custodian and actual document locator together. Preserve conflicting versions in separate rows.
  3. Assign each unresolved question to a reviewer, then export the register as CSV or text with the supporting documents.

Start with a blank row or load the fictional example.

Your entries remain in this page only. Download or copy before leaving; nothing is automatically saved or fetched.

Add one record or comparison per row. Leave unknown facts blank or name the missing document. Scroll the table horizontally on a small screen. Each cell accepts up to 2,000 characters.

You can export this blank table before filling it in elsewhere. The export includes the kit edition, row provenance and method references. Method references do not verify your property.

CSV copy fallback

If file saving is blocked, copy this into a UTF-8 .csv file.

This table does not upload documents, search records, run an AI model or confirm source facts. The next-request worksheet below is a separate companion; entries are not copied between the two tools.

Companion: document requests

Turn unresolved items into a review handoff.

This separate four-item sheet helps organize supporting requests. It does not copy or analyze the entries in your register.

01 County and municipal assessing unit

A New York county selection still needs the responsible city, town or NYC assessment path.

02 County parcel identifier or NYC BBL

Identifiers from different municipalities or boroughs should not be silently combined.

Observations and source reference
03 Recording office and instrument chain

Upstate recording offices, ACRIS and Richmond Clerk are distinct document routes.

Observations and source reference
04 Operating schedule and evidence gaps

The state record workflow supports any asset, but operating assumptions need their own files.

Works in this page. No uploads, record searches, contact capture or automatic saving. Download your sheet before leaving.

Method and source context

Keep the evidence with the worksheet.

These references explain the method. They do not verify facts about your property. Your export keeps their scope separate from the document references you enter.

What this edition does
  • The directory routes research; it does not certify a property database or audited access to every local portal.
