Off-Market Owner Research: Build an Evidence Handoff
Hand off off-market owner research with source records, documented roles, unresolved questions and recheck triggers. Includes a fictional CSV practice pack.

Off-Market Owner Research: Build an Evidence Handoff
An off-market owner-research handoff should let the next analyst identify the property, inspect the evidence behind each relationship and see what still needs checking. Give the receiving person a versioned record with source locations, documented roles, unresolved questions and a named next action. A contact name alone cannot carry that work.
This guide starts after an initial research pass. Use the LLC-owner research guide to investigate the records, then use the handoff below to preserve the distinction between a recorded entity, a candidate relationship and an accepted conclusion.
Define the record before moving it
Use separate identifiers for the parcel, legal entity, evidence item and proposed person-to-entity relationship. A property address is useful to a human reviewer, but it is a poor substitute for a parcel identifier and jurisdiction. An entity name may be shared by unrelated organizations. A relationship may change without the entity disappearing.
The W3C PROV overview, published in April 2013, describes tracking the data, activities and people behind an output. The handoff fields here are our practical application of that idea, not a claim of formal PROV compliance or a legal ownership standard.
Keep three layers visible:
| Layer | What the record says | What it does not establish |
|---|---|---|
| Observed record | A dated source identifies an entity in a stated role | The source is current or sufficient for another purpose |
| Proposed relationship | A researcher believes two records may be connected | That the connection has been verified |
| Reviewer disposition | A named person accepts, rejects or leaves a particular claim unresolved | That every other claim on the property is accepted |
A reviewer may accept the parcel-to-entity match while leaving the controlling person unknown. Do not compress those decisions into one green status for the whole row.
Work through a fictional handoff
The owner-research handoff practice pack contains three fictional records, an evidence register, a recheck queue, a blank handoff CSV and an answer key. The documents are described teaching fixtures, not real public filings or verified leads. No personal contact data is included.
Record H-001 concerns fictional parcel P-101. Fixture E-01 lists Example Cedar LLC in the property record. Fixture E-02 lists Morgan Example as a manager of that entity. The accepted property-to-entity match can travel forward with those references. The manager role remains a manager role; the exercise does not establish beneficial ownership or authority to sell.
Record H-002 concerns P-102 and Example Elm LLC. The proposed connection rests on a commercial agent address. Its relationship status remains unresolved. The next action is to locate a record that can establish or reject the proposed connection. Do not enrich a speculative person as though the identity were settled.
Record H-003 contains an old property-to-entity assertion. A newer fixture E-05 contradicts it. Preserve the old assertion for history, mark it superseded for the current working view and assign a recheck. Neither deleting the older row nor leaving it active explains what happened.
The useful handoff includes all three records. Only H-001 has an accepted current property-to-entity match in this exercise. None of the three establishes sale intent, verified beneficial ownership or permission to contact a person.
Require evidence that another analyst can open
Each evidence entry needs a stable identifier, source location, document date where available, checked date, relevant page or field and the claim it supports. A saved filename with no location or explanation forces the next person to repeat the research. A working URL that supports the wrong role is also inadequate.
Keep “document date” and “checked date” separate. Opening an old filing today does not turn it into a newly issued filing. Where lawful and permitted, retain an accessible copy or the retrieval reference your organization uses. Record access restrictions rather than promising that every recipient can open the material.
The receiving analyst should check one straightforward record and every material unresolved or contradictory relationship in the pilot. If the evidence cannot be opened, treat that as a handoff exception. Preserve the researcher's proposed conclusion, but do not silently promote it to accepted.
Give uncertainty an owner and a trigger
Assign the person responsible for resolving each question, the next source to inspect and the condition that reopens the decision. Triggers can include a newer conflicting record, a failed identity match or an internal recheck date. Your team sets the review interval according to the use and source; this exercise does not prescribe a universal freshness period.
A status of “needs research” is useful only if someone knows what research is needed. Replace a vague comment with a specific question: which filing identifies the manager of this exact entity, in this jurisdiction, for the relevant period?
The owner-list deduplication exercise addresses a different risk: losing parcels or combining unrelated entities during cleanup. Complete those identity checks before assigning pipeline totals to this handoff.
Test the transfer, not just the export
Import the practice CSV into a disposable working view. Confirm that all three handoff IDs, five evidence references and the two open recheck items survive. Check whether long notes are truncated, dates are interpreted consistently and the receiving view preserves the original relationship status. A successful file import does not establish that the meaning survived.
Then introduce one new contradictory source. The expected result is a new review event linked to the earlier assertion, not an unlogged overwrite. Ask the receiving analyst to reconstruct why the status changed using only the handoff package.
Keep outreach in its own approved workflow. Research completion does not establish contact eligibility, consent, sale intent or a reason to ignore suppression and duplicate-contact checks. The handoff supplies evidence for a later decision; it does not make that decision automatically.
Use the off-market sourcing workflow pack to connect these review fields to a broader acquisition process. Start with a small, already-understood practice set and record corrections before increasing the volume.
Frequently asked questions
Does a manager record prove beneficial ownership?
No. Preserve the documented manager role. The exercise does not establish beneficial ownership or authority to sell.
How often should an owner record be rechecked?
Set a review interval according to the source and intended use. A newer conflicting record or identity mismatch can trigger an earlier review; this guide supplies no universal freshness period.
Should an unresolved record be deleted?
Keep the proposed claim, its evidence and its unresolved status with a specific next question. Preserve superseded assertions as history while preventing them from appearing as current accepted conclusions.
Does completing research authorize outreach?
No. Contact eligibility, suppression, duplicate-contact checks and outreach approval remain separate from the research handoff.
