Research an owner's commercial property portfolio by starting with a verified title-holding entity, searching its exact name in county records, and following documented entity relationships. Keep confirmed parcel holdings separate from candidate affiliations. The useful output is a dated, source-backed portfolio map with clear coverage limits.
Start with one verified property
An acquisition associate has a promising warehouse and wants to understand the seller's other holdings. Searching the owner's mailing address may produce dozens of parcels. That is a starting queue, not a portfolio. An accountant, property manager or registered agent can receive mail for unrelated owners.
First pin down the seed property: county, parcel identifier, street address, entity name exactly as recorded, and the document date. Save the record location and when you accessed it. Do not use a company website's portfolio page as the sole ownership register. It can be helpful corroboration, but the organization may manage an asset, have sold it, or hold only an interest through a venture. Record what the source actually says.
Search the entity, then review the relationships
County property-search tools differ. The Palm Beach County Property Appraiser's advanced search includes an owner-name field. Use an exact name first, then carefully documented spelling variants. In another county, confirm the supported search fields and local parcel format before reusing the workflow.
For each result, open the property record and inspect the recorded entity. A similar address or abbreviated name is not enough. Where a recent transfer matters, review the recorder's deed and legal description rather than assuming the assessor display already reflects it. Record discrepancies for title or legal review.
Next inspect business filings. Florida's Division of Corporations search guide explains its entity-name and officer/registered-agent searches. Those fields identify recorded names and roles; they do not by themselves establish beneficial ownership. Keep a manager, a member and a registered agent in different fields.
Maintain two separate relationships: entity to parcel, supported by property records, and entity to organization or person, supported by the relevant filings or other documents. Proving the first does not automatically prove the second.

The defensible answer is two confirmed holdings in the practice packet, one unresolved candidate, and one former holding. A search result containing four rows is not evidence of four current properties.

Build a register someone else can review
Use one row per asserted relationship, not one paragraph per owner. Capture the subject, relationship, object, jurisdiction, parcel identifier where relevant, source document, source date, location within the document, review date, status and next action.
Make the statuses do useful work. Confirmed means the specific relationship is supported by the reviewed evidence. Candidate means more evidence is needed. Historical means the relationship applied at a previous time. Rejected records a false match so another researcher does not repeat it next month.
Keep ownership, management and mailing relationships distinct even when the same organization fills more than one role. Do not turn “listed manager” into “sole owner” during a spreadsheet cleanup. If a filing stops at another entity, leave that branch open until the relevant evidence is available.
Deduplicate parcels without losing the asset structure
A commercial site can comprise several tax parcels. Conversely, a single parcel may contain several buildings or operating units. Keep a parcel table and an asset grouping rather than using a street address as a universal identifier.
Compare current and former entity names, but preserve the original strings. Log mergers, renamings and transfers as dated events. This prevents a sold property from returning to the current portfolio merely because its old owner still appears in a search index.
A final summary should say which counties were searched, which records were available, when they were checked and what remains unresolved. Avoid claiming a national portfolio if the work covered one county.
Use AI to prepare the review
Give the assistant only records your team is permitted to process. Ask it to extract the stated relationship and a source location, then list plausible next checks separately. Require “not established in the supplied records” when support is absent. Do not let a proposed relationship silently become a confirmed one in the exported table.
Try this instruction on the practice pack: “Create one row for each entity-to-parcel and entity-to-parent relationship. Quote the short supporting excerpt and name the file. Keep registered-agent overlap as a candidate only. Exclude transferred properties from current holdings. Do not search for real people or invent missing documents.”
Evaluate the uncertain branches as carefully as the easy matches. In this example, accepting Yard C as confirmed is an error even if the assistant correctly extracts all the other rows.

You can search an exact LLC name in the jurisdictions you cover, then check deeds and related entities. A public-record search cannot guarantee completeness across all jurisdictions, ownership structures or recent transfers. State the coverage and review date.

No. A commercial registered agent may serve unrelated entities. Treat the overlap as a research lead, not as evidence that the entities share beneficial owners.
How do I avoid counting the same property twice?
