Student-housing research should show which beds are leased for which academic year. Current occupancy, next-year preleasing and a waitlist answer different questions. Start with a bed-to-unit register and a dated leasing snapshot, then use AI to flag duplicate beds, unsigned reservations and turnover obligations that a single occupancy headline can conceal.

Beds and units are not interchangeable

Fannie Mae’s student term sheet recognizes per-unit and per-bed structures. Preserve the structure used by the property rather than applying one rent figure to every bedroom. A four-bedroom apartment can have several individual agreements, joint liability or a mixture across the building. Identify the document behind each arrangement before counting leased inventory.

Preleasing needs a snapshot date

A next-year reservation, an executed lease and an occupied bed belong in separate columns. Keep cancellations, conditions and replacement leases attached to the same academic cohort. A comparison made at different points in the leasing cycle can imply improvement without showing whether the underlying commitments are stronger or simply measured later.

Turnover is a delivery project

Concentrated move-outs create a short window for inspections, repairs, cleaning and move-ins. Ask which party supplies furniture, who pays for damage and which beds are unavailable during the turn. A leasing plan that ignores the physical handover schedule can promise inventory before the operator has established how to make it available.

A practical review sequence

Build a file another reviewer can follow

Use the sequence below to turn the initial description into specific document requests. Preserve contradictory records instead of choosing the more favorable version.

  1. Map each bed to a home

    Create a bed ID linked to unit, floor plan and rentable status. Reconcile the inventory to floor plans and the manager’s operating list. Keep inaccessible or offline beds visible. A unit-only list can conceal vacant bedrooms inside an otherwise occupied apartment.

  2. Freeze two separate cohorts

    Choose a reporting date for current-year occupancy and a reporting date for next-year commitments. Ask for the underlying executed agreements and cancellation log. Record whether the operator’s preleasing figure includes applications, reservations or signed leases so later comparisons retain the same definition.

  3. Trace a disputed commitment

    Follow one bed with a cancellation or reassignment through the original lease, release, replacement agreement and bed assignment. AI can propose the document sequence, but a reviewer should verify which agreement remains effective. Counting both the old and replacement tenant creates demand that the property cannot actually accommodate.

  4. Plan the physical handover

    Connect move-out dates to inspection, maintenance and move-in scheduling. Request the turn budget, contractor scope and contingency for delayed rooms. Export questions about unassigned beds and missing contracts as tasks for the manager rather than presenting a synthetic stabilization forecast based on a headline prelease percentage.

Questions that arise during review

Resolve the ambiguity before the model

Is a guarantor the same as a resident?

No. Record the roles separately and use redacted agreements where possible. A guaranty may support an obligation without identifying who occupies a bed. This worksheet does not collect personal resident or guarantor information.

Can university enrollment prove demand?

Enrollment can provide context, but it does not establish demand for one property, price or lease period. Keep dated institution-level information separate from executed leases and investigate transport, competing supply and the specific student segment before drawing a property conclusion.

How can AI check a preleasing file?

Ask it to join bed IDs, academic years, executed leases, cancellations and replacement agreements. Flag two effective commitments for one bed and reservations mixed with signed leases. Have the leasing manager confirm the current obligation against the originals before the result becomes a preleasing count.
