Choose Your Integration Path: Partner API or Export Ingestion
Determine which path applies to your organization. If your firm is enrolled in RealPage Exchange and has active partner API credentials, you can use the API path for scheduled or near-real-time pulls of work orders, leasing data, and financials. If not, the export ingestion path works with the scheduled financial, delinquency, and leasing reports your RealPage administrator already produces — and can be configured immediately without Exchange enrollment.
Most operators start with the export ingestion path because it is available immediately and covers the majority of automation value: owner reporting, delinquency triage, and leasing dashboards. The partner API path adds real-time capabilities (especially maintenance work orders) once provisioned.

(Export Path) Configure a Monitored Inbox or Shared Folder
Set up a dedicated email address (e.g. [email protected]) or a designated shared drive folder where your RealPage administrator schedules the monthly financial reports, weekly delinquency reports, and leasing pipeline exports. Share access credentials with NextAutomation's n8n instance so it can monitor for new deliveries and trigger ingestion automatically.
Ask your RealPage administrator to configure the report scheduler to deliver exports to the designated inbox at consistent times — for example, financial reports on the 2nd of each month at 6am, delinquency reports every Monday at 7am. Consistent delivery timing makes the ingestion pipeline reliable.

(Partner API Path) Provision API Credentials via RealPage Exchange
Contact your RealPage account representative to initiate RealPage Exchange enrollment. RealPage will provision partner API credentials (client ID, client secret, and base URL) for your account environment. Provide the provisioned credentials to NextAutomation to configure authentication in the n8n HTTP request nodes.
Provisioning takes 4–8 weeks. Initiate this process before your target go-live date. Configure the export ingestion path in parallel so automation starts delivering value while the Exchange credentials are provisioned.

Map Property Codes and Ownership Entities
Provide a mapping of your RealPage property codes to human-readable community names, and the ownership entities or investor groups associated with each property. This mapping is used to normalize raw RealPage data into correctly attributed owner statements and property dashboards.
Your RealPage administrator can export the property list from the RealPage Administration module. The ownership entity mapping typically mirrors your partnership or LLC structure.

Build and Test the Ingestion Pipeline in n8n
Using n8n, configure the appropriate trigger node (email/file detection for export path; HTTP/scheduled cron for API path). Add parse-and-normalize nodes for the report types in scope. Test each report type with one historical export before enabling live ingestion.
Test with last month's historical export before connecting to live data. This lets you validate the normalization logic and catch any column or format mismatches specific to your RealPage configuration before production data flows through.
